How it works
Four steps, no re-typing and no parallel system to maintain.
One case per code
When you import your sampling frame, each unit links automatically to an existing or newly created case, by its own code.
A public tracking code
For a given case, generate a short code (eight characters) to hand to the citizen or beneficiary, by phone, in person, or by text.
The citizen checks it themselves
With that one code, no account or password, they check where their case stands: status, label, last-updated date.
The case carries across cycles
Duplicate your campaign for a new cycle (an annual renewal, a quarterly reassessment): each unit keeps its original case, no new data entry.
A concrete example
A municipal government tracks the annual renewal of business licenses. Each business becomes a persistent case: its code is the license number. The campaign is duplicated every year as a new cycle on the same sampling frame, and each business owner checks the status of their application with their own code, no account and no call to city hall required.
Who can create a case?
Any active member of your organization can view the list. Creating one, changing its status, and generating a public tracking code stay reserved to an administrator.
Manually, as cases arise
One click from your organization's console (code, label, type) as soon as a new case comes up.
Automatically, on import
Import your sampling frame with the "Link cases" option: a case is created for each code, no re-entry needed.
What it guarantees
Built with the citizen's privacy in mind, not just your own administrative convenience.
Your internal notes never exposed
The public lookup returns only the status, label, and last-updated date; never your notes, the internal code, or the organization.
A code that's hard to guess
Eight characters from an alphabet with no ambiguous letters when read aloud (no 0/O, 1/I/L): over a trillion possible combinations.
Always current
The status shown is whatever you last set it to, never a snapshot frozen at the moment the case was created.
Automatic linking, with a manual fix always available
Matching happens on its own at import; a manual field correction propagates the right case too, with no extra step.
